Terms and Conditions

Reservation / Payment / Payment methods:

For the reservation of your Trekking, Expeditions or tour; you need to send  { a scan copy of passports or [ Groups name list , Nationality, Passport Number, Date of birth and date of issue and date of validity of passport in time, 2 P P size Photos of each of all the members] } before 30 days of arrival.

The 30% of the tour cost should be deposited / reached to Walkers Expedition by Western Union or Bank Transfer or by cash upon the reservation or at least 3 weeks before the trip start. The transfer charge is on your own. For the details about bank account, please contact at [email protected] or [email protected].

The reservation for your tour will not be considered confirm until the deposit is received. We will send you a copy of receipt of Walkers Expedition by email or Fax once a deposit is received.

“FOREIGNERS OTHER THEN INDIAN NATIONALS ARE REQUESTED TO PAY THEIR BILLS IN CONVERTIABLE FOREIGN CURRENCY ONLY” Order by Nepal Rastra Bank). SO, the remaining balance (70%) payment should be paid by cash or Credit Card, Maser card / Visa card at our office Walkers Expedition Katmandu, while you arrive in Kathmandu / Nepal or before the trip start. It is also possible to pay in Nepalese Rupees but have to show the exchange or withdrawal bank receipt.  (If you wish to pay by credit card, 4% levy will be added on the top of cost for card processing fee.) you will be required to add a 4% processing fee. 

Deposit/ advance payment

A deposit of 30% of the Trekking/Expedition/ tour price per person / trip is required upon confirmation of your booking. Once a deposit is received it is understood that you have read, understood and accepted all our terms and conditions.

The remaining balance of the Trekking, Expedition or tour cost (70%) should pay upon arrival in Nepal, at our office (Walkers Expedition). We only accept Visa or Master Card and a 4% levy (government tax) will be added on the top of cost for card processing fee.

Confirmation of the Trekking / Expedition / tour will be made only after the deposit is received and a receipt will be sent to the concerned member via e-mail or fax. We reserve the right to cancel your trip if the full amount not be paid in time.  

 

Cancellations & Refunds:

Cancellations are required in writing through our fax  +977 -1 4423334 or e-mail [email protected] or [email protected]  At least 30 days prior to the date of arrival in case of individual trip and 40 days for group booking. Payment refund will be made as per the foreign currency conversion rate in US$ dollar prevailing at the time of refund. The following cancellation charges will levy.

1.   Cancellation prior 30 days of the trip departure - 100 % refund, less cost of permits and other administrative expenses already incurred or 10 – 15 % of the total trekking/expedition/ tour cost.

2.   Cancellation prior 48 hours days of the trip departure - 100 % refund, less cost of permits and other administrative expenses already incurred  25 % of the total trekking/expedition/ tour cost.

3.   Cancellation within 48 hours of the trip departure - 100 % non-refundable.

4.   If by some unavoidable situation your trekking/Expedition/tour is stopped or early arrival due to nature accident likewise weather reasons or other, in this case Walkers Expedition will not refund.

 

Release and assumption of risk

Walkers Expedition will put every effort to make your holiday/journey very smooth and pleasant. Walkers Expedition is committed to providing the best services which will give you once in a life time journey. We perform our duties security, honestly & seriously. However, the entire tours are conducted as accordingly the rules and regulation of the country. Therefore, Walkers Expedition P. Ltd. and its related agents accept no responsibility for any changes in the itinerary due to unavoidable circumstance such as govt. restriction, Land slide, road blockage, flood, snow / political unrest, cancellation of flight, delay, sickness, accident or death.

 

Flight cancellation policy:

Flight bookings and issuing the tickets are completely non refundable or transferable.

 

Booking changes or Alternation of tours

We are happy to assist you to make the best holiday in Nepal. In the case of alternation to your tour itinerary before the booking process will be free of charge. Alternation after we have received your booking confirmation letter will attract a fee of NRS 2000 Per Person and per request.

Walkers Expedition reserves the right to modify the itinerary for the Trekking, expedition or tour if any events, air or land transportation are beyond its control make such a alternation necessary. In this event, any of the increase or reduction of the tour cost will be calculated and charged accordingly. If the tour itinerary has to be changed at the request of the client’s, any extra charge or loss incurred due to such change will be borne by client/s.

Emergency evacuation:

If in case of emergency Evacuation needed during the trip; Helicopter, Horse, Car/Van or any most available means will be arranged as far as quickest availability but Walkers Expedition, will observe the condition of clients.  The charges most be paid by the clients themselves or your Travel insurance policy will cover before departure from Nepal to any other country.

 

Insurance:

We do not have any insurance policy covering the expenses for accident, sickness, and loss of your personal belongings due to theft or any other reasons. Visitors are strongly recommended purchasing travel insurance from your home country that protects you & your investment in the event of a sudden emergency before or during your trip & coverage for trip cancellation or interruption, illness, injury, damage, loss or theft of baggage as well as emergency evacuation

 

Currency Fluctuation:

All prices of the tours are based on US$ foreign exchange rates at the time of publication. Prices may change in the event of increased land or air costs that are beyond the company’s control. The company reserves the right to alter the price of any tour due to currency fluctuation. Any price increase will normally be notified prior to departure.

Child Discount:

One child under four years old is generally considered a reduction of 50% of the Trekking/ tour cost, provided that s/he is accompanied by at least two full paying adults and stays in the same room. An extra bed is provided free of charge.

 

Passport and Visa

You must carry a valid passport and have obtained the appropriate visas. Please ensure your passport is valid for 6 months beyond the duration of the trip. It is your responsibility to ensure that you are in possession of the correct visas for the countries you are traveling. Walkers Expedition cannot accept responsibility if you are refused entry to a country or places because of correct visa documentation.

Validity:

All the information is valid at the time of publication but is subject to change without prior notice. The changes occurred will be posted on the website immediately. If the terms & conditions change after the deposit is paid, the terms & conditions under which the deposit was paid shall apply.

Medical Conditions and Special Requirements:

The Company must be notified in written form if need any special service for   any medical conditions, physically challenged conditions or any other mental and or physical condition which may affect fitness to travel and or any medical condition. Failure to notify the Company may result in the client being refused travel. Failure to notify the Company of any such condition that results in cancellation will result in 100% cancellation fees to the Client.

Medical facilities vary from country to country and the Company makes no representations and gives no warranties in relation to the standard of such treatment.

 

Expedition and Climbing:

For Expedition and Climbing we would prefer to have booked at least 6 month to the proposed period. Necessary materials such as group size, member’s bio data, photo graphs, alpine club recommendation letter or experience letter, application forms, royalties, garbage deposit, climbing Sherpa high altitude insurance money has to reach us on time to fulfill the necessary formalities.

 

You acknowledge that you have carefully read and understood this agreement. You acknowledge that this is a liability release and legally binding contract between you and Walkers Expedition. You are making booking on behalf of yourself and on your own free will.
